The Westport Library Board of Trustees met to review monthly library operations, committee reports, facility maintenance, and upcoming events. Library Director Bonnie Strebel reported on a successful summer reading program, upcoming holiday programming scheduled for December 19th, after-school parking lot issues, and collaboration with a local speech-language pathologist to catalog decodable early reading books. Assistant Director Amy Medeiros highlighted her interview in Real Simple magazine for fall book recommendations and reported steady growth in the library's social media following. The board also reviewed updates from the Friends of the Westport Library (FOWL), noting their active fundraising and support for upcoming library initiatives. Discussions turned to facility maintenance and budget concerns. The Building, Grounds, and Safety Subcommittee noted that the town and grant applications for a $500,000 HVAC overhaul had been denied, prompting plans to seek an estimate for a standard replacement system costing approximately $100,000 to $120,000 to submit to the Manton Foundation. The Finance Subcommittee raised concerns over escalating utility and water testing expenses—costing nearly $6,000 annually through Northeastern Water—which currently drain the maintenance budget because the library shares a monitored well system with the school complex. Trustees agreed to advocate for separate utility line items and prepare a board statement of support for the upcoming budget proposal to Town Administrator Chris Vitale. In other business, the board voted to authorize the chair to review and approve executive session minutes. Trustees scheduled the outdoor bench dedication ceremony for October 19, 2026, at 11:00 AM, preceded by grounds cleanup work contracted to Joseph Englesby, while choosing to postpone tree replacements. Trustees also discussed book genrefication (BISAC organization) for young readers and safety concerns regarding the recently installed outdoor book drop box.

0:15That's okay.
0:23The minutes of August meeting.
0:28Motion. Motion to approve.
0:31Second. Any discussion, corrections?
0:37Thank you. Order that very thorough.
0:42All in favor?
0:46Date of next meeting.
0:51Oh, it's going to fall on Columbus Day.
0:53So, I don't know if we want to do the day after, the week after.
1:06So it would have been the 12th. Okay.
1:08Yeah.
1:09So either the 13th or the 19th.
1:13Any strong feelings either?
1:15I won't be around on the rest of that week.
1:18So you want to do the next the 13th.
1:20The 19th.
1:2319.
1:25Okay. Okay. Monday, October 19th.
1:35The meetings are getting short again.
1:36So, right, we hope that's the plan.
1:48Any correspondence?
1:55Okay.
1:56director's report. Motion to accept motion.
2:00Second, discussion.
2:04Anything you want to highlight?
2:05Um, summer readings really went really well this year. A lot of people participate. It was a lot of fun. Um, we had Ed the Wizard. He did two different programs. He was amazing. I would definitely have him again. And he was very reasonably priced. Um, we had a Christmas program booked. Um, an actor's going to come and uh telling re dramatic retellings of a child's Christmas in Wales, Gift of the
2:30Magi, and some excerpts from the Christmas Carol. Uh that's December 19th at 2 p.m. Um one of our dogwood trees I think has to eye. It looks really bad.
2:41It is the one right on the end. So, um there is a quote in Joseph's quote for replacing it, but I think we should wait because I think if we do it now, it's not going to make it.
2:51One year warranty on the trees.
2:53He's going to talk to and find out.
2:56They should be.
2:57But I think planting it now would be a bad idea because it was hard enough keeping those alive. So, um the others are they don't look amazing, but they're alive. So, um so far, um the first week and a half of school has gone well with the after school kids. Um everyone's parking in the lot, but there's really I saw the letter that they sent to the parents and it said in three different places, do
3:20not park in the library.
3:22How is it going? It's there. There's cars there. So, do they they park there for the day or they park there week?
3:28No, they got there at like I saw I saw 12:30 the other day.
3:34They get there earlier at the school, but here they usually get there.
3:37But when does school release 12?
3:41Yeah, they're supposed to.
3:47So yeah, I I have no idea at this point, but you know sense to have a sign for your parking lot like for employees and volunteers only.
3:58We have signs. We have signs for the library parking, don't we?
4:01Yeah.
4:01Yeah. Library.
4:04Nobody sign.
4:05Oh, okay.
4:08Don't get more signs.
4:09Okay.
4:10Because I know when I went out the other day for volunteering, there was somebody out there waiting for their child. Yeah, it is overflow parking.
4:18Yeah.
4:19And for Well, you probably feel a little hidden if you over there, too. So, you feel like you might get away with behind where you guys parked.
4:25Yeah.
4:26Was it a black SUV?
4:27No. No, it was actually Connecticut car, I think.
4:30Might have been a grandparent or something.
4:33Yeah.
4:34Um, the sign, the no trucks and buses sign has helped a lot with the trucks.
4:38Good.
4:39Um, at least over the summer. We'll see once the sports start again whether the buses pay attention. But so far, I haven't seen I don't think large truck backing up or trying to back up in there since they so I think that's working at least.
4:51Um and then I got invited to be a guest reader at the elementary school for the um the first grade classes when they they come over every year in the spring to get their cards. So I'd spoken with some of the teachers last year and they wanted to do something kind of throughout the year so the kids would know me by the time they came to get their cards and um so that should be
5:10really fun. I'm looking forward to that.
5:11I'm hoping to start next month and Yep. That's that's it.
5:17Can I ask about this because I love this with your um note about the um the speech language.
5:23Is that someone who's uh like works in the schools now or just Yeah, she does work. I don't think she's there like during the school day. She works after school with um some kids she said, but she is a speech language pathologist and she helps with the early intervention in reading I believe. So the back when I was in school it was phonics but they call it decodables now which is I think it's mostly the order
5:46that they teach things in. It's still like the same sort of long and short vowels and everything but the order they teach them in is different.
5:52So she had I think so basically um so she had um volunteered she had contacted me to come in um she her son goes to elementary school so after she drops him off she could stop by. So, she spin once and went through she pulled a couple of older um like sets we had that she's ever really out of date and we had mostly gotten rid of the set at this
6:17point anyway. There was only a few left.
6:19And then um she picked out all the decodables because I have bought a few.
6:24There's not a lot specifically to buy.
6:26And I have them um labeled now and so she helped with that. So, we have a star and she's going to help me um you know find out good um publishers for them and things like that so we can start working on that because we have had parents ask about it in the past and it's not something we know a lot about. So that's really helpful to us.
6:45Do you want to talk about the first part?
6:49You brought it up.
6:50Oh, okay. Yeah, it's is it further down there?
6:53Oh, it is on the end. Okay.
6:56We'll talk about Joseph's estimate later.
7:00Well, thank you. Will the school publicize what you're doing here in terms of changing around the collection and has they could once it's a little more um definite and I more I would definitely yeah tell them about it especially if I'm going to be there.
7:15Any word of mouth is great.
7:17Yeah. Yeah, definitely.
7:19You deserve the credit.
7:20Yes.
7:27Okay.
7:28Motion to approve.
7:29Motion to approve. All in favor?
7:34Assistant directors report motion.
7:37That's a woohoo.
7:41Motion to accept.
7:42Motion.
7:44Second.
7:44Second.
7:45Okay, go for it.
7:48Uh so I was u interviewed um by a person at Real Simple. um she had seen our Tik Toks and um just wanted to know if any librarians were available to give recommendations or um fall most anticipated anticipated um books and I said sure.
8:08I gave her some a couple and she used most of them.
8:14Did you do it here?
8:15Oh, I emailed her all this stuff. Yeah.
8:17Okay.
8:18Where was she? Do you know she in New York? Um, probably she does people and real simple.
8:24It was It was very nice.
8:25It was a really good art.
8:28Yeah. Very good comments.
8:31They took your comments three times.
8:34That was very nice.
8:36I think it would be nice if you got something to display like like a a picture of the magazine and then these quotes to have displayed.
8:46Probably going to be in the print one because we have a subscription.
8:50because that's quite I think we're on the map.
8:55That's a great I think that would be nice for patrons to see that you know that is a good idea.
9:01Yeah, I like this increase in um social media followers is pretty pretty good. I mean from 1209 to 1544 for Facebook.
9:11Yeah, that's that's great.
9:13Do you attribute that to anything or just kind of um a couple Tik Tok videos that we did recently? Um Clever the Yeah. Okay.
9:22So, how does I'm not on Tik Tok. I'm on the other Facebook.
9:26Um because they go back and forth.
9:28They'll like So, you're one social media in the big Facebook too, Instagram, too.
9:33And they follow us on both of them.
9:35But Tik Tok has grown a lot. Facebook is still like the highest one we have, but probably speaks to the population probably. Yeah.
9:47For the older people coming up.
9:51It's almost like the the generations Facebook Tik Tok.
9:55Yeah.
9:58That's great.
10:00Thank you.
10:01Motion to accept.
10:03Motion to accept.
10:05I agree. Oh, y second.
10:12It was repeat.
10:15So, I'm sorry. It was It was Don and Sue.
10:18Yeah.
10:20All in favor?
10:21I update. It was a really detailed.
10:27Yes, I know. I It was a really long meeting. Um it was a lot of information.
10:32So, um you could read all the details here, but um the yeah, I mean they had a really good month for donations if you noticed. Um that was that was pretty because even after they gave the 40,000 donation, they still have 53 in their account. So, um and then they that's even before this book sale. So, they're really happy about that and they their two summer programs are really well attended. Um,
11:03I didn't get a chance to go to either of them because I had my my family home and it was chaos. But anyway, um, but they had got a lot of good feedback as well.
11:11And I guess they said the the actress who did that revolution of her own, they get a lot of questions from kids.
11:17Apparently, they said there's a lot of like she stayed she said she would have stayed for just answering the question.
11:22So, um, they're definitely, you know, hopefully that she can do another program.
11:26I heard from a few different people too who said it was excellent.
11:29Yeah.
11:30Yeah. So, they're really happy about that. Um, and then they also made motions to um, you know, well, Bonnie was there, so she she knows, but to reimburse for your craft supplies for the summer, for the bookcase, for your toy lending library, which I can't wait to see.
11:47Looks like a truck or something.
11:50Um, and also for the the Christmas program, they're going to they're going to cover the cost of that, which is which is great. Um, and of course the rest of the discussion was all about the book sale because I was just before the book sale.
12:03So that's going on right now until till Saturday. So hopefully that that does really well. But it's funny because I had volunteered to help sore on Thursday and um she emailed me that morning, we're all set because I guess so many people come came on Tuesday and Wednesday that they were able to get them all on the shelves. So whoever was here, I'm sure some of you were.
12:24Amazing. Yeah, I was there too saying it was packed with volunteers.
12:27Yeah. So, that's that's great. They had a lot of help.
12:31Um, and I one of the the the discussion really was more a lot about their membership is steady but stagnant and it doesn't reflect as much of a percentage of library patrons as they'd like. So, it's like two I think it's like 260 I think there. Um, and it's kind of stayed that way for a couple years. So that they they had some discussion about how they get more word
12:57out, how can they get more membership of Fowl, how more donations, which is always the case for any organization.
13:04Yeah. I mean, they do have social media.
13:06They have the same that the library does. Um, and they they very active in that. But again, it's just how Yeah.
13:12Do they track their social media?
13:14Yeah. Yeah, they do. They have um I think it's Nicole that does their website and their all that stuff and and she's pretty good about that. So, one of the ideas was to set up a table at Le um to get members. Um but again, that's up to Le if if they will do that. So, we we'll see. Um, on a side note, I got an email from someone else I know from
13:37another committee that I guess there's someone retiring soon and they want to either contribute financially or volunteer strongly for the library. So, soon as I hear more, I'll let you know.
13:49But I I put him in touch with super as well. So, that could be do a donation. Would it be better to go through friends or library?
13:58That's what I was told once.
13:59I think for Yeah, I think it's That's why I gave him Sue Branos because I think if it's funneled through the air, he can kind of Yeah.
14:09kind of ear marks, right?
14:11Yeah.
14:12Right.
14:13There's more work involved when he goes through town, right? That's what I mean. It would definitely That's why I wanted to put him right away in touch with Fowl and not the town because I think it's it would be, you know, better to to have him go directly through there. So, we'll see.
14:29um was it the only other you know issue is which we've talked about at Bonnie is the majong thing. So this is how that goes with the parking.
14:39Um but other than that yeah there was no way to make changes after that.
14:44Yes. It is what it is. So we'll see what happens.
14:47We'll see.
14:48What was the um first library video July 17th? It was um the two so Sue being interviewed quote unquote um by one of the other members.
14:58Um he did a great job. It was really good. It was actually it was it was really it was excellent.
15:04Um that was on the town website.
15:06Yes, the YouTube channel.
15:07Yeah, the YouTube channel. Okay.
15:09Our YouTube channel. So they're planning another one. It's like pre done questions. So, it's it's it's back and forth, but it it's it's it's very um or it sounds organic, but it's actually yeah, they did a really great job.
15:24Good.
15:25So, I guess this one probably will be about how the book sale went and all that upcoming program. So, yeah, it's on the YouTube channel if you want to take a look at it.
15:36That's it for me.
15:39Okay. Excuse me. Motion to receive and file the report motion. to receive a file.
15:46Second.
15:46All in favor?
15:50Okay.
15:52Building grounds and safety subcommittee. Next.
15:54I'll let you go first.
15:57Um, Joseph Englesby had contacted me about cleaning up the slopes and around the amphitheater before we have the bench decation ceremony and around the library itself um those gardens. So, he sent an estimate in does include the dog wood replacing that, but I would personally think we should wait to do that part. But for the clean up, we have Yeah, everything else it would be the um the
16:27slope between us and the school that's huge mess right now. Um the gardens in front of the library to the side and then right around the amphitheater where there's roses and stuff.
16:39I think if we have the money, we should do it. The town hasn't been able to get up here because they don't know the paving right?
16:43Yeah. How much was the estimate?
16:46Um, it's $3,526, but the tree was in there, so I think it would take out like around three or something.
16:56Okay.
17:02Yeah. Oh, so yeah, it would take out maybe 17.
17:06Oh, okay. So, it would take out 60 and 50 it looks like. Great. Okay.
17:12The town can when he's done the town can still come up stone.
17:16I'll bring some samples of stone in see what you like. Okay.
17:24Is there a date set for the dedication?
17:26Uh no, I think that's fine.
17:27You I know. That's not you know there's one section.
17:35We have we have we have some work to do.
17:38I thought being absent I might have missed the uh the date for you.
17:43Yeah.
17:45Update on the HVA system that got denied for this year from the town and for the grants. So I have requested and I'm receiving a quote for a normal system, not the $500,000 system, but more like a $100,000 system to basically replace what we have with existing new stuff.
18:04So the guy that prepared the system for the town is preparing something for me for that for what we want. So my guess is that'll probably be in 100 to $120,000.
18:14Once we get that, I'd like to make a motion that we submit it to Menon Foundation.
18:20Okay.
18:24When do you anticipate getting that?
18:26Well, I saw him yet Friday. He said Monday, but I think he was being the next Monday.
18:30Okay.
18:32not over the weekend.
18:41So, do you think that they will allow us to do that then? The the town won't care.
18:46Okay.
18:47They don't really have much say when we get a grant.
18:49Okay.
18:50Okay. So, we won't have to go to the 500. That's what we don't have to go with the 500,000 system.
18:57We can do that one. Okay.
18:59That's that's good.
19:04Okay.
19:07Motion to receive and file the update.
19:12Make a motion.
19:13Second.
19:14All in favor?
19:16I personnel committee. The only thing I have to say is that Bonnie spoke to us about ch a change in the schedule and the three of us approved it. It's just temporary.
19:33Is it just who's going to be here? In other words, like who's going to come?
19:36Yeah, it's Monday and Thursday nights.
19:38Yeah. Ryan and I switched for No, just for until November, probably.
19:42Oh, just switched.
19:43Yeah. Yeah. Okay.
19:44Till November.
19:45Yeah. So, I'll be here on Mondays and Ryan's gonna be here on Thursday.
19:48Yeah.
19:52And finance, any updates? Yeah, Carolyn and I met with um Bonnie, that was last Thursday. Yeah.
20:02And just to go over numbers and um you know, the the real concern is the utilities. You know, that we just don't get enough money from the town.
20:12Everything went up last year.
20:14And then you know, you have to dip into other funds. And um I kind of started to do an analysis. Um there's very little It's funny because it would be nice if there was a line in the general ledger that said water.
20:30Yeah.
20:30You know, because it would be so much easier to track it that way because it's under repairs and maintenance. There are lots of other things that go, not lots, but everything else.
20:41Yeah.
20:42Janitorial supplies go there, too.
20:43No, no, there is a custodial supplies line and an office supplies line and repair and maintenance. But um it's uh it would it would just be easier I think all around if it was kept separately. I would have to think the town keeps it separately.
20:58I I don't know. I mean we don't have access to before.
21:02What is it?
21:02We've never had a water issue before.
21:04Right. Right.
21:05Um and the water is spendy.
21:08Yeah. Um, I I looked at I pulled you guys think I won't think I'm great, but I pull the field cards for all the public, the high school, the old high school, May Humber, but I have to think that the well out here is strictly for the library and the high school.
21:26No.
21:26Is it also for the elementary?
21:28It's for the elementary or the high school with us.
21:30Oh, okay. Because if you look at like square footage wise, we are 5% of what the high school is. Yeah. Now, I didn't include the elementary school in that.
21:40So, that will bring that number down.
21:42The old high school is included in that, too.
21:44Oh, and the old but they work off the well out here.
21:47No, but they're on the monitoring system.
21:50The high school wells gets monitored by state requirements.
21:53Okay.
21:55Title five, that whole thing.
21:57I have a whole package of a year and a half worth of the bills.
22:00Yeah. give them to you.
22:01Okay. Okay.
22:02And it has on there what the breakdown is for the library. They're very intermittent on what they charge to the old high school.
22:09All right.
22:10Okay.
22:10I don't think it's right. I I thought we might might want to install water meter and say this is how much water we use.
22:15Sure.
22:16Based on that.
22:17Yeah.
22:17Because we use Phoenix compared to the high school, right? Oh, absolutely. Yes.
22:21Because on the high schools there's a separate line item on how they break it down. There's a line item for the uh food service. They use a lot of water.
22:29Oh, is that an outside company that does that or It's an outside company.
22:34It's a separate line.
22:35It's the outside company monitors it and puts the chemicals in it.
22:40Okay. The testing.
22:41All right.
22:41And they do all the reporting for the state because the state requires us to do certain corporate report, right? Yeah. I know you have to do a title five certificate annually and um it's I'll give you the copies.
22:53Okay. All right.
22:55I've been fighting for a while. It's not fair. Yeah, we got this increase in our budget. I mean, we got an increase in cost for the school, but we didn't get an increase in budget, right?
23:04We spent probably $4,500 a month, $4,000 a month. Am I wrong?
23:10No, it's not.
23:11I got those.
23:13It looks like it's around $400 a month.
23:15It's almost $6,000 a year.
23:17Yeah.
23:18Yeah. Okay.
23:19Um, so that's that's our maintenance and repair budget, which I was using is only 3500.
23:27Right. So, well, and also what's interesting and I I mean I we have to delve into this deeper, but there's only one company it seems like Northeastern Water is the only company they have the contract with the town.
23:40So, do they do all the testing of everything is under that umbrella?
23:44Everything.
23:45Okay. All right.
23:46The permits.
23:48Okay. All right.
23:49I'll give you a copy I'll give you a copy of the contract.
23:51Okay. Terrific.
23:52Breaks it down what they're supposed to do, but not by price.
23:55All right. Okay. All right.
23:56They do inspect the water here once a month.
23:59I think usually during the school year.
24:01Yeah.
24:02Yeah.
24:02They were just here last.
24:03Yeah. Yeah.
24:05So that Yeah. That was the biggest topic that we were because that is a concern and and and it's not in the budget now and we want to make sure Right.
24:16Um there should be a line for utilities and then we have gas, electric, and water.
24:20Correct.
24:21Yeah. It would make it so much easier gas and electric separately, but we've never we have gas and electric separate lines, but we've never had because it's because of the well water, we've never had a water bill. It's just the testing.
24:33It's not the water itself.
24:35It's not really a utility.
24:38You should be able to get adjusted.
24:39Well, if it's correct like the Route Six water line, that's a utility. They get a bill from West.
24:46It's really no different.
24:48We get a bill from the town for services.
24:50Right. Right.
24:53What we use the other thing beside you know we talked to Bonnie about that and about having that as a line item um is when Bonnie proposes her budget to Chris when you go to Chris or whatever that us as a board you know we can vote on it when we get closer to kind of almost write a statement of support for this budget. Um I don't know if we've done that in the p
25:15I'm new to this but I think that would be really great idea if we did that like we support these you know especially if you have to you know and I I strongly think we should do a little bit of an increase because of that you know and the utilities are going to go up the numbers talk if we didn't have any of the grass and stuff we'd be in trouble right state is what right most
25:39and when you do an analysis most of it is currently now coming out of other accounts, right? Yeah.
25:46Yeah.
25:47Yeah.
25:47You know, so we're depleting those accounts, right?
25:50So, okay. All right.
25:52A lot on state aid, but um that's not a guarantee for sure. So, it depends on how much the state allocates to all of those things.
26:00It's not it's a it's a 62% of the town budget is the library budget. So, I think asking for like $6,000 more or$5,000, whatever it ends up being, I think it's going to be it.
26:13Yeah.
26:14So, as I always learned as a child, the worst they can do is say no.
26:18That's right.
26:19Ask.
26:22We might also want to consider putting a line item in there for uh plowing.
26:28It'll just make the town think they have to spend this much more if they don't let this town do it.
26:33Mhm.
26:34A couple years ago, go under now.
26:36The town takes care of it now.
26:38Oh, but at one time, a couple years ago, they said they weren't going to do it anymore.
26:42So, we would have had to get someone to do it. That's what I'm saying. If we had a price, it's going to cost us $10,000 a year for plowing.
26:49We asked for that increase. Never mind.
26:51We'll let the talent take care of That's a good idea.
26:53Yeah.
26:54They did hire another person for landscaping. I mean, for cutting grass.
26:58That's why we're getting things done.
26:59Ah, okay. That's clever.
27:04I think it's great having these subcommittees where a few people can give like a really granular analysis of good for you have a few cards.
27:19Well, I did that analysis and I was like, "Oh my gosh, we're like this tiny little entity."
27:25And that's just based on square footage.
27:27That's not based on water, toilets, sinks, nothing like that. Yeah. Yeah.
27:32There's a whole formula for how much water is expected to be used based on what you have.
27:38It's a mathematical formula somebody put together. Like in a building, you have 10 bathrooms. You're supposed to have x number of persons per day go to that bathroom so many times.
27:47And it's interesting because the field cards don't show like how many bathrooms, you know, nothing like that.
27:53So, it's very hard to So, I just did it based on square footage, but I know that's not totally realistic.
28:01Okay.
28:03Anything else? Did we talk about anything else? It was mostly the utilities.
28:07Y um just that you were finding finalizing your finance report for the state.
28:12Yes. October 2nd. So that'll be before our next meeting.
28:19Okay.
28:21But I'm I'm I'm happy to um hear that you're in favor of we vote on it to write a statement from the board. You know, I think that'll go a long way.
28:33Yeah.
28:40Okay.
28:42New business. to go to the finance.
28:46We can we'll vote to to receive and file all the subcommittee reports.
28:54Motion motion.
28:55Second.
28:56Any more discussion?
29:00All right. Motion to approve then. All in favor?
29:06Okay. New business go to authorized chairperson.
29:14to approve executive session minutes on behalf of the board.
29:18Motion second.
29:20Any discussion?
29:22It would be reported in next month's meeting and then I would also speak to making it um releasing it if it seems appropriate at that time.
29:43at some point if it's appropriate. If it's not appropriate then not then we would consult with Bonnie and with Chris. I think that was good.
29:54They said every few months you have to kind of evaluate it and see if it's and I think this is the first time we've had executive sessions and minutes.
30:04Yeah.
30:06Excellent. Okay.
30:07Okay. So vote to authorize to chair to approve.
30:14Second.
30:16Any questions or comments?
30:21All in favor?
30:24Okay.
30:28I've got the minutes from you that you email everyone. So all right. Do I need to do anything else to those? No.
30:38Not at this time though.
30:39All right. Okay.
30:43Date for bench dedication to be announced.
30:49When we figure out a date right now what we have to do.
30:54I don't know.
30:55We got a lot to talk about.
30:56Lemonade.
30:58Cookies. I don't know.
31:00We'll have the names of the first goound for adventures. That was go around number one. Uhhuh.
31:06So those names are on the benches.
31:08They got the old ones kind of I see. Okay.
31:14Who would do that work?
31:17Taking off the old ones, putting on the new My brother's going to volunteer to do it.
31:20He doesn't know yet to adhere them.
31:24Yeah.
31:26There you go.
31:28He also put together a book drop. So he's very That's the That's the first group. I think there's only those people that made money for the benches. Right.
31:39Right.
31:40And then the friends want to coordinate, I imagine.
31:45To make sure their plaques are in place.
31:47They might do a separate dedication for their plaque for Carol near the locust tree.
31:53Um Sue had mentioned it recently, so I'm not sure if they're going to do something separately or just for Carol.
31:58Yeah, I think it might be a separate thing.
32:00Is the bench for her outside or just the tree?
32:02Just the tree. And they have um a plaque that's gonna go in front of the table.
32:06The benches can all be put together and the tables all put where it belong. Be part of that that whole thing because that's uh who did the second one? Man foundation did the first.
32:17Yeah.
32:18The second one.
32:22The second one.
32:22Oh, the second one was was the main foundation.
32:24Yeah. The first was the benches were private. Yes.
32:27Then fans did the walkway and the trees and we can put down who helped with that too.
32:33Definitely want to include the highway department in that.
32:36So the people who were named there are they invited, right? So have to get a little leeway.
32:46I think you need like a month at least and if you wanted like press or anybody from the town to come.
32:52So maybe October.
32:53A month or December might be too chilly.
32:55That's what I'm thinking too. Yeah.
32:56That's kind of I think um the day of our next meeting would be great. We'll be here. I don't know.
33:04What day is that?
33:0619th.
33:09And I imagine we should invite town officials.
33:13Yeah. Oh, yeah.
33:15It's an election year, so they definitely probably should invite and Mike Rogers.
33:20Mike Rogers. Yeah.
33:21We do have to check that um Joseph can get everything cleaned up by them.
33:25Yeah. Right.
33:27So, we're looking at it the 19th.
33:28Well, only because that's about a month away and two weeks before November and if we consider the election that'll be coming on and it'll be cold.
33:42I'll be aware of the 12th plan will be here that week. That seems like a lot to accomplish. And well, I guess if you put your mind to it, we just really have to get Somebody's got to make up like a little invitation.
33:59Who's good at that?
33:59I can do that.
34:00Okay, I'm staring at you.
34:04I can do that. Bonnie does that.
34:06We can send that out either electronically, probably by mail to the people.
34:11Yeah, they're coordinated to whatever time we want to do it. But it would be 1:00 or something.
34:172 o'clock. 1 o'clock.
34:19Well, it's a Monday. We don't want to be there.
34:21Do it at 2 o' You're going to have the kids from school at 2:00.
34:26Maybe 11 before 11 before the library before eating. Yeah, that makes sense.
34:35Yeah. And then if you do it at 11, then you don't have to deal with school.
34:40Yeah. School and the people out there in the parking lot, right?
34:49So 11:00 10:19 I have a list somewhere of all the addresses for those people.
34:56Okay.
34:58But so is is there any hospitalityesque piece to it? Like you could have coffee or you know cookies something like that and some sort of We should put stuff on.
35:14We do.
35:15Do we need any chairs out there?
35:18I'm not sure how the chairs would be on the ground.
35:21It's right in front of the amphitheater is pretty And then is there a speaking podium? Like a podium?
35:30Right.
35:32Yeah.
35:32Right. Right.
35:33We can make a program, right? We make a speaking program.
35:35It should be a few short speeches.
35:37Thank you.
35:38Yeah.
35:48Now, the man foundation I don't think has an address yet, but we can send it to the family in town.
35:53Mhm.
35:58But you do you email them for um requests, grants, information you just email that there must be a board of some sort that sees that.
36:08It's the Bank of New York.
36:09Yeah. They so I think they should be invited but just I could do that but they send everything to them they approve it.
36:16So but I do sometimes you'd be surprised that people send representation just because we should invite they give out $35 million real simple.
36:30We should research where that money came.
36:35Yeah. No kidding.
36:35Okay. We'll fine tune it as we go along.
36:43I'll put a list of names together. We think we should invite you do it and you do it. We'll put them together. See if we have a lot of people covered.
36:49Mhm. Sure.
36:49Okay.
36:54Okay.
36:56So, there was this this dedication. Is it part of the new building? Like was there a committee initially to it? Yeah, that was before I start attended meeting so I don't know.
37:12So that committee, it's kind of the finality of that project now. So that committee should be included because they were of the addition.
37:21Yeah. Is it not part of that or it's just the money from the same Okay.
37:26People I I do recall Polly saying that she'd like to see it finished. So she was part of the committee. Yes.
37:32Right.
37:33She was Yes.
37:35So that I think the whole should be invited. They can come or not come but right.
37:40Who else was on the committee back then when we started? Joseph, I think there's a sign up there, isn't it?
37:45That was the building.
37:46That was 2009. That was the addition.
37:50So maybe that's a committee she was referencing. No, there was a separate committee for I think it was just the trustees. I don't know if there was a specific um I was I was confused. I thought that was part of I think it was the trustees at the time.
38:02Then we might want to get started reach out to Paulie and just check with her information from her.
38:08Yeah, cuz she had said that if when we were going to do it that she would want to be involved.
38:13I I remember that too. Yeah.
38:15Yeah.
38:17Just to make sure no one's with them.
38:25Can Joseph get his stuff done prior to that? I'll check with him. or or really the the part I guess you don't clean up before you start doing the other work. But I started on Sunday. I came over the tall ones. They come out real easy.
38:45I did like 3 ft by 5t in like 10 minutes.
38:48Oh wow.
38:49They're still laying there.
39:02Have you been using designs that probably? Yeah, I think the second day it sounds like just the tree.
39:18So, I'll have red.
39:24We should probably there.
39:30Yes.
39:33Does he do this work himself?
39:35He has a few people who work for him, but he's here also.
39:39He has a pool of people when he needs them.
39:53He's going to bag disposable Westport transportation.
39:58They don't take that.
40:00He's brought stuff.
40:01He's gotten rid of it before.
40:03He takes it to Westport doesn't have that anymore.
40:08What don't they take the transfers? They don't take weeds and stoves and stuff.
40:12Okay.
40:14They won't even take grass equipment anymore.
40:16Oh, interesting. It looks like six two days. So hopefully, yeah, you should be able to
40:31do we need a motion to accept the proposal from Joseph after it's revised to just join the the around the library. I guess discussion questions.
40:51All in favor?
40:52I So Bonnie Joseph will send the contract.
41:01Yes.
41:03Like
41:12Let me get that copy of the proposal of the HVAC system HVAC system to everybody.
41:19Yeah, it's great.
41:30Old business.
41:33The bylaws I had sent out to everyone little notations because you said there's too much legal ease or you didn't know what the legal ease is referred to in the bylaws.
41:46So I I could email it again, but it basically just the chapter headings from all the different laws.
41:53So it explains what each one represents.
41:58I put my writing in red. So you see you emailed that yesterday.
42:02Yeah. Yeah, I know. because I read this menace and I said I promise I haven't seen that's helpful.
42:15Yeah, I could have you found out the open meeting the open meeting law because I went yeah online to the Mass General Law website and saw that the what we referred to and that's what I think we have to vote on. I'm not even sure if it's like a difference that we have to vote on or just substitute from the old open meeting law chapter to the new number.
42:44Use the new number.
42:44I wouldn't think we had to vote on it because what if we voted against it? We can't change the law.
42:49Yeah. So, I think we could just amend it.
42:53That's something.
43:00Well, we're not changing anything. This is just an explanation, but it's clarification. Just We don't have to amend the bylaws to add that. This was done for you.
43:13Thank you.
43:19Okay. Didn't we take something out? I can't remember.
43:24Well, what we had changed that we voted on was changing Okay. meeting monthly to monthly as needed.
43:32So that's what we voted on.
43:34Yeah.
43:34Okay.
43:37So we don't need to vote again.
43:39You don't have to.
43:42One less vote.
43:48And any other whole business other topics?
43:53I have a question. It's um just kind of general. I was in a library elsewhere and they I was talking to the librarian and she said that they have the system of um or organizing books. I don't know if the system is used here or not called genreation.
44:11You heard of it?
44:12BISAC. Yeah.
44:13BISAC. Exactly. Yeah. What is that?
44:16Is it what you do in the kids?
44:17That's what we did in YA. So it's basically we have fantasy, we have romance, we have horror. um instead of just having fiction or right and just not just by author it's more like topic.
44:29Yes, it's by topic and then it's a by if you walk into like Barnes & Noble that's so it's just Yeah, it pulls it out by genre.
44:37That's what they were saying.
44:38But you can go down a very very Oh yeah, I think this library you could go down the rabbit hole.
44:45Everything can be subdivided again and again, right? and just doing um ya is our smallest you know section by far and even that it's like a book can go into three different places and then I had to decide where every single book was going and some of them were very easy when you're could be a romantic I mean some of it was fun because I'm an Eric about library things so
45:04yeah well the books and it was at um West Tisbury and it was just like you just found a topic and you could live in there and I think the thing was more for the kid like I just like trucks I don't want to go find every book about truck.
45:18Here's your truck spot.
45:20A little bit in kids, but that's where it gets so hard. It's like animal books or vehicle books. We have cats in construction. Where does it go?
45:28Very good book by the way.
45:30Um so then you get in the where does it go and like based on just why that was really difficult.
45:36I like it though.
45:39Recommend it. This particular library I like it for young.
45:41Some libraries are moving to it. Um, I would I would never do the whole library like that, but cuz some mix like non-fiction in with it. That's a whole big thing.
45:51Um, I don't think I'd ever do it for adults like personally, but I have thought about doing we have talked about doing the J fiction like the middle readers like we did YA and start it that way. I think like picture books, it's going to be too much of a nightmare.
46:09Um, Norton has done it and there's a couple other libraries um you'll see their call numbers. It'll say um there's like seasons and you know things like that. But I think you can get so into the minutia that it's sort of well and my limited experience in filing children's books.
46:29They're kids are pulling them out.
46:34The new staff has such a hard time with I have to tell them like I love that you're working so hard to put these in order but it's going to last the minimum maybe and it's going to get messed up.
46:44The board books especially like I love the initiative but it's sort of a waste of time like you have to you know yeah where did you get this book and like we'll be like almost in the restaurant like it wasn't here. I know it wasn't here, but we're in and that's we try to keep them as fast as we can, but it's a losing and we have to accept that. Right. Right. Right.
47:05Keep the adult.
47:07I agree. I agree.
47:08Yeah. No, I think adult, but um I do want to try it. I think with the I think for young adults it's more attractive for them.
47:15I think it's only been a few months, but I think it's helping.
47:18Yeah.
47:18Um I haven't, you know, based on the statistics I get of those that have gone out, it does seem to be helping. I have heard from some um a few of the teen patrons who really loved it. They knew right where to go for their stuff. So um for that age group, it's working really well. I think adults I would not think picture book, but I do want to try it with the
47:38Yeah, it was a fun conversation because I was like like is that even a word?
47:42Like yeah, it goes library using a non word genreation.
47:47Can you break it down by the genre versus the author or I do have one other thing under not anticipated.
47:56I've heard there's been some concerns about the drop off box.
48:01Reach it. Um my personal opinion it probably shouldn't be out there.
48:06Okay.
48:07Only because when when the plow trucks come by I'm concerned the edge of the plow is going to catch it even if it's that far back. I can have a highway dip.
48:15I can drive up here and see.
48:17Where it was before?
48:19Oh, it's in the middle right now.
48:21Yeah. Didn't it get hit a couple of times?
48:24Yes.
48:26The first day, somebody.
48:29Are you serious?
48:30And then the next day, somebody else backed into it.
48:32It hasn't gone well. I know the curb there, but not there's been a giant cement island there for years.
48:42Yeah.
48:43Think it would throw anybody off.
48:47It's not working out quite some people can't reach up to it.
48:50Yeah.
48:51Yeah.
48:51But I can't reach back to either. I have to get out of the car.
48:55It doesn't look like it's got any dents in it.
48:58No, they No, they just moved it. I always cuz we saw it on the security cameras.
49:01They were very slow. So, it just pushed it. We only noticed it cuz it was moved.
49:04Maybe we could see people to move it where you want to put it.
49:08It's really light.
49:10We can Sorry.
49:12We could probably just move it ourselves. But yeah, it did not quite heavy.
49:16Isn't it heavy? Not really.
49:18The bin inside it is really heavy, but like on it.
49:22I thought it was going to have to be put together.
49:24It was a little bit. The bin had to be put together. The thing itself is in this big box. It can't be too much to put together.
49:29Yeah. The blue outer thing was all put together, but the bin inside had to be put together.
49:34Yeah. No, that has not.
49:37So that didn't have a cement platform put in. It was just placed. We There is cement there. We did have that put in.
49:42We did. I thought so.
49:43But it's not bolted.
49:45No, it's No, we never Oh, good.
49:47I don't think the cars would have moved it if it was B.
49:52Would have had damage.
49:54Well, I think it's good that it wasn't secured.
49:57Yeah.
49:58Hey, live and learn.
49:59Yep. It was worth trying.
50:00Yeah. Didn't quite work as anticipated.
50:03At least you got it.
50:04Well, the video was cute though. is an hour.
50:06I did like the video.
50:08I did like the video.
50:09We were just out there.
50:10My brother left and within an hour really like we went inside and then we were showing the rest of the staff how to open it.
50:20And then they're like, "Hey, why is it so crooked?" And I was like, "Oh my god."
50:24Somebody rolled around, tried to put it in.
50:26No, somebody even signs out there.
50:32the signs that are out for the parking spaces. You've got one that's leaning over.
50:37I think that was blow that could have been a big storm we had.
50:40Yeah, there was so much snow to move.
50:41Yeah.
50:44What are you going to do?
50:48Um Oh, the tables.
50:50Yeah, not yet.
50:53We'll take care of that.
50:56the highway to move them, especially since they got to be carried up over the hill.
51:02Yeah, those are really heavy.
51:04Awkward.
51:05The pads were put in so the guys cutting grass could cut right over top of the concrete.
51:09Right. Right.
51:10No more weed weed trimming.
51:12Oh, very nice.
51:17Motion to if you want.
51:22I got a dog. He'll wait for me.
51:25Motion to adjurnn.
51:26Did you just call Motion?
51:36Any discussion? All in favor?
